
We’re thrilled to share a fantastic new addition to the Oracle Absence Management module – the Donation Pools feature! This innovative feature, inspired by customer feedback, allows employees to donate their accrued hours or days to a collective pool. Managed as a monetary fund by payroll, this pool can provide additional PTO hours to employees in need. Let’s explore how this feature works and how you can make the most of it!
How Employees Can Donate to the Pool 🤝
- Navigate to Donations:
- Head to Me > Time and Absences > Donations.
- Add Donation Details:
- Click Add and fill in the donation details.
- Choose Pool in the Recipient Type field and select the name of the donation pool in the Recipient field.
- Save the Donation:
- Click Save.
- Your donation will appear in the Existing Donations section of the Donations page.
How HR Specialists Can Enroll Workers and Add Donations 🧑💼
- Access Absence Records:
- Go to My Client Group > Absences > Absence Records.
- Select Worker:
- Search for and select the worker who needs to be enrolled in the pool plan.
- Transfer Balance from Pool:
- In the Plan Participation section, click Enrollments and Adjustments, then select Transfer Balance from Pool.
- Choose the date and the amount to be donated.
- Click Submit.
If a worker loses eligibility or doesn’t use the donated hours within the specified period, the HR administrator can manually return the remaining balance to the donation pool fund by clicking Enrollments and Adjustments > Return Balance to Pool.
Enabling the Donation Pools Feature 🛠️
- Create a Donation Plan:
- Start by creating an absence plan of the Donation plan type.

- Set Donation Type:
- On the absence plan setup page, set the Donation Type field to Pool in the Plan Attributes tab.

- Configure Eligibility Criteria:
- Define the eligibility criteria for both donors and recipients on the Participation tab.
Tips and Considerations 📌
- Balance Reporting: The Balance Reporting section from the Plan Rules tab has been moved under the Plan Attributes tab. Configuration is essential to ensure the balance is sent to payroll based on Person Primary Frequency or Repeating period.
- Plan Limits: The Plan Limits section from the Plan Rules tab is now under the Plan Attributes tab.
- Balance Disposition Rules: These can only be configured for termination. If you select the Return balance to pool checkbox, any leftover balance will be returned to the pool.
- Recipient Eligibility: The system checks the recipient’s eligibility every time a donation is made from the pool.
- HR Specialist Role: The Human Resources Specialist role now includes the Transfer Donation Pool Balances privilege, enabling the Transfer Balance from Pool and Return Balance to Pool actions.
