In today’s fast-paced recruitment environment, it’s crucial to streamline every aspect of the hiring process. Oracle Recruiting Cloud introduces a feature that enhances communication and organization for both candidates and interviewers. As a recruiting administrator, you now have the capability to configure the contents of calendar events, specifically through .ics attachments for candidates and interviewers, and Office 365 calendar events for interviewers. This blog post will guide you through this new functionality and how you can tailor it to fit your organization’s needs.
New Categories in the Recruiting Content Library
Oracle Recruiting Cloud’s update brings three new categories to the Recruiting Content Library:
- Interview Calendar File For Candidates: Customize the .ics attachment provided to candidates.
- Interview Calendar File For Interviewers: Customize the .ics attachment provided to interviewers.
- Interview Office 365 Event For Interviewers: Customize the Office 365 calendar events for interviewers.

Key Features:
- Default Content Items: Each category comes with default content items that are active by default. This content matches what was available in previous releases.
- Personalization: You can create your own versions of content items for each category. This allows you to define the subject and message content uniquely. Tokens are available to dynamically include relevant information in both the subject and the message.
- Rich Text for Office 365 Events: For the Office 365 calendar event messages, you can use rich text formatting to make your messages stand out.
- Integration with Teams and Zoom: If you’re scheduling interviews through Teams or Zoom, note that the custom descriptions will be overridden by automatically generated content from these platforms.
Important Consideration:
For multi-seat interviews (where several candidates are scheduled for the same time slot), tokens related to candidates and job applications cannot be resolved in the interviewer’s .ics and Office 365 events.
This limitation is due to the single notification sent out for multi-seat interviews. However, you can use groovy expressions in the content items to manage how tokens and their associated text appear when tokens return empty values.
Steps to Enable:
Good news! There’s no additional action required on your part to enable this feature. It’s ready for you to use and customize according to your needs.
How to Personalize Your Interview Calendar Events:
To make the most of this new feature, follow these general steps:
- Access the Recruiting Content Library: Navigate to the specific category you wish to customize – either for candidates or interviewers.
- Create New Content Item Versions: Generate new versions of the default content items to start customizing the subject and message.
- Utilize Tokens: Incorporate tokens within your content to dynamically include relevant details like candidate name, interview date, and more.
- Format Office 365 Event Messages: If you’re customizing Office 365 events, use the rich text features to enhance the appearance of your messages.

By personalizing the content of .ics attachments and Office 365 calendar events, you’ll improve the interview scheduling experience for both candidates and interviewers. This tailored approach not only reflects your organization’s attention to detail but also helps streamline the communication process, ensuring everyone is well-informed and prepared for their interviews.
Embrace this feature to further enhance your recruitment process, making it more efficient and personalized for all parties involved.
